SCYA “Club of the Year” Criteria

The Southern California Yachting Association (SCYA) sponsors a Yacht Club of the Year program for Member Clubs. The purpose of this award program is to promote Corinthian Spirit in yachting, foster the exchange of information among yacht clubs, encourage civic involvement and reward participation in SCYA activities.

There are three perpetual Trophies, one for each of the SCYA membership categories:

• Senior Membership
• Regular Membership
• Associate Membership

Each year the trophy is awarded to the club with the most points in the categories throughout the year. The clubs awarded the Trophies are selected by the Club of the Year Committee Chair based on the point system described below and presented by the outgoing SCYA Commodore. Points are accumulated from November 1st to October 31st of each year. Club of the Year awards will be presented at the annual Change of Command/General Membership Meeting the following January.

The COY Committee is the final authority to determine that criteria have been met.

Maximum possible points for “Senior” Yacht Clubs is: 86 Points.
Maximum possible points for “Regular” and “Associate” Yacht clubs is: 80 Points.

Categories for Judging

1 Dues and Yearbook Submission

Dues and Yearbook Submission. Membership in SCYA is beneficial to Member Clubs in a variety of ways, and the SCYA Yearbook is used by reciprocal organizations to verify such membership. 2 points will be awarded for complete submittal of SCYA Yearbook data on or before the second Friday in December 2^nd. An additional 2 points will be awarded for SCYA dues remittance in full before March 1^st.

A maximum of 4 points will be awarded.

The Committee will obtain dues remittance and SCYA Yearbook data information from the SCYA Service Center.

Criteria Objective: The point structure and requirements have been developed to encourage Member Clubs to submit the information for the SCYA Yearbook, and pay their dues on a timely basis. Submission of dues is required to maintain membership.

2 Club Coordinator:

Each Club is encouraged to appoint a coordinator and notify the Club of the Year Committee of the coordinator’s name and means of contact as that person will be the focal point for information flow to and from the COY Committee. The COY Committee Chair must receive the name and contact information for a club COY coordinator on or prior to January 28.

A maximum of 1 point will be awarded.

3 Midwinter Regatta Clubs:

Midwinter Regatta Clubs will be awarded 1 point for each boat registered under their burgee and racing in the SCYA Midwinter Regatta. No boat’s registration may be credited to more than one club.

A maximum of  8 points will be awarded.

The Committee will obtain the data from the Midwinter Regatta Committee.

Criteria Objective: The point structure and requirements have been developed to reward member clubs that have yachts racing in the SCYA Midwinter Regatta.

4 Junior Program:

Junior Program Clubs with an active Junior Program that focuses on instruction for youths under 18 years of age will be awarded points as follows:

2 points - 10 or more participants
Additional 4 points - 20 or more participants
Additional 1 point If instructor is certified by US Sailing
Additional 1 point For each two scholarships awarded to a junior to participate in an instructional sailing program.
• The junior must not be a member of a yacht club at the time a scholarship is awarded.
• A maximum of 1 point will be awarded for the Associate and Regular Yacht Clubs
• A maximum of 3 points will be awarded for the Senior Yacht Club

A maximum of 8 points will be awarded in the Associate and Regular categories.

A maximum of 10 points will be awarded in the Senior Category.

Clubs shall submit data describing their Junior Program and its activities to the COY Committee.

Criteria Objective: The point structure and requirements have been developed to reward Member Clubs that promote Corinthianism in yachting through a viable Juniors Program.

5 Regatta Hosting:

Regatta Hosting - Clubs hosting the SCYA Midwinter Regatta, US Sailing and Area J championships, state, regional, national, or other regattas of championship caliber will be awarded 2 points for each such regatta.

A maximum of 4 points will be awarded.

Host clubs will submit data describing the regattas for which they wish to claim points to the COY Committee. An advertising flyer, club bulletin or a news release are examples of evidence needed to obtain points consideration.

Criteria Objective: The point structure and requirements of this criteria have been developed to encourage Member Clubs to host championship caliber regattas.

6 Club Racing Program:

Clubs maintaining programs for closed course sailboat races. Race events will be awarded 1 point for each 5 events.

An event consists of 1 or more individual races conducted on 1 or more days. Point-to-point race events will also be considered on an individual basis. Clubs will submit data related to their club racing program.

A maximum of 6 points will be awarded in this category.

7 Club Cruiser Navigation/Predicted Log Programs

Club Cruiser Navigation/Predicted Log Programs. Club participation in sanctioned (PCYA, SMBPF, SDCA & NACA) Predicted Log/Cruise National Race events(s) will be awarded 1 point for each with a minimum participation of 2 club boats per race. An event consists of 1 or more individual races conducted on 1 or more days.

Point-to-point race events will also be considered on an individual basis.

A maximum of 3 points will be awarded in this category.

The Committee will review PCYA, SMBPF, SDCA & NACA,SCYA,SCCYA and local Harbor Association calendars for this information.

Clubs are to provide data on member participation.

Criteria objective: The point structure and requirements have been developed to encourage Yacht Clubs to maintain a structured program to encourage racing for sail and powerboats. The program should be one in which the members can race and learn with their peers.

8 Club Cruising Program:

Clubs maintaining a Cruising Program will be awarded 2 points for a minimum of 3 cruise events, or 4 points for a minimum of 6 cruise events. An event may be sail or power. It shall include a total distance of at least ten nautical miles and overnight stay. Cruises aboard commercial vessels will not be considered.

A maximum of 4 points will be awarded.

The Club shall submit its calendar, notices, monthly publication, or other similar data.

Criteria Objective: The point structure and requirements have been developed to reward Yacht Clubs that maintain a Cruising program for their membership. There are people that wish to enjoy organized yachting activities through cruising.

9 Civic Involvement:

Charitable Activity: Clubs will be awarded 2 points for monetary support of each charitable non-profit organization, or sponsorship of a charitable activity such as a cruise for the physically or mentally challenged. All net profits must go to the charitable organizations.

A maximum of 4 points will be awarded in the Associate and Regular categories.

A maximum of 6 points will be awarded in the Senior category.

Clubs shall submit data such as an advertising bulletin, a flyer, or a news article.

Criteria Objective: The point structure and requirements have been developed to reward Yacht Clubs that support charitable activities. The proceeds must go to the charity, with no net profit taken by any of the organizations associated with putting on the activity.

10 Community Service:

Yacht Clubs that provide a community service will be awarded 2 points each for the support or sponsorship of community activities for organizations such as the Coast Guard Auxiliary, US Power Squadron, Scouting Organizations, or for hosting seminars.

A maximum of 6 points will be awarded in the Associate and Regular Categories.

A maximum of 8 points will be awarded in the Senior category.

Clubs will submit data such as an advertising bulletin, flyer, or news article.

11 Clean Boating Program:

Clean Boating Program: Yacht Clubs will be to promote clean water through involvement, education and activities.

A maximum of 3 points will be awarded.

Criteria:
Host a Clean Boating seminar for members and the public;
Appoint a Clean Boating chair who will attend at least one Californias Clean Boating meeting a year;
Manage a program for used oil, etc;
Have 10 or more members participate in a costal clean up day.

12 SCYA Participation

SCYA Meeting Attendance: Points will be awarded to recognize attendance of Club Official Delegates that attend SCYA Annual Meeting, Installation Meeting, and Regular SCYA Meetings:

1 point for a Registered Delegate or Registered Alternate attending a regular SCYA meeting.
2 points will be awarded if the annual installation is attended by the invitee(s) or designee.
No more than 2 points will be awarded per meeting.

A maximum of 14 points will be awarded for this category.

The Committee will obtain the data from the meeting attendance sign-in sheet at each meeting.

**Flag Officers, Delegates and Alternates must sign-in to receive club credit. **

Criteria Objective: The point structure and requirements have been developed to promote direct participation by encouraging Delegates and Alternates to become participants. Participation in SCYA by Member Clubs should increase when individual Member Club Delegates and alternates are more knowledgeable about SCYA.

13 SCYA Seminar Attendance

SCYA Seminar Attendance: Points will be awarded for Club members attendance at a SCYA seminar or a sanctioned Local Harbor Seminar, 1 point per attendee, up to a maximum of 2 points per seminar may be awarded. Examples of SCYA seminars are:

SCYA Medical Emergencies A float Seminar
OCC-SCYA Safety at Sea Seminar
Racing Rules

A maximum of 6 points will be awarded in this category.

The Club will provide copies of event sign-in sheets as provided by the seminar leaders.
* Attendees must sign in and note club affiliation for a club to receive credit.

Criteria Objective: The point structure and requirements have been developed to encourage SCYA Member Yacht Clubs to become more knowledgeable on subjects related to the principles of Corinthianism at sea. The seminars must be sanctioned by the committee and be available to all members of all yacht clubs.

14 Yachting Association Memberships

Yachting Association Memberships. Memberships in yachting associations other than SCYA is encouraged. US Sailing Association and Local Harbor Associations provide services to member Clubs that are different from SCYA. 2 points will be awarded for Club membership in US Sailing Association, a Local Harbor Association, and Southern California Cruiser Association.

A maximum of 4 points will be awarded.

The roster from yachting association will be used to verify membership. If the club is not listed in the roster, a photocopy of a canceled check for membership dues may be submitted.

Criteria Objective: The point structure and requirements have been developed to encourage participation in other yachting organizations. Yacht clubs are organizations with unique, varied and diverse needs. The organization management is replaced annually. The US Sailing Association and the Local Harbor Associations are available to provide additional background, knowledge and assistance to SCYA members.

15 Recreational Boaters of California Support

Recreational Boaters of California support: Support of RBOC, a nonprofit special interest boating group, is beneficial to the member Clubs, since RBOC works directly with the California Legislature to assure that legislation is favorable to the boating community.

Points will be awarded to a Club for contributions of as follows;

Associate Club $100 min 3 points $200 min additional 2 points

Regular Club $200 min 3 points $400 min additional 2 points

Senior Club $500 min 3 points $1000 min additional 2 points

A maximum of 5 points will be awarded in the RBOC category.

Criteria Objective: The point structure and requirements have been developed to encourage donations to RBOC. The formula has been developed to encourage larger and timely donation reporting.

Clubs will provide information with cancelled checks to RBOC

Tie-Breaker

In the event of a tie for COY the following shall be used to try and break any tie(s).

For each Commodore, Vice Commodore and Rear Commodore attending a regular SCYA membership meeting, the total COY points earned by a club will be increased by the sum of the following:

Commodore - 0.005 times the club’s total points;

Vice Commodore - 0.003 times the club’s total points; and

Rear Commodore - 0.001 times the club’s total points.

The examples below use 80 as the clubs total points.

EXAMPLE 1

Commodore attends 2 meetings:

2 X 0.005 = 0.01

0.01 X 80 = 0.8

0.8 + 80 = 80.8 adjusted total points

EXAMPLE 2

Commodore attends 2 meetings and Vice one:

Com 2 X 0.005 = 0.01

Vice 1 X 0.003 = 0.003

0.01 + 0.003 = 0.013

.013 X 80 = 1.04

1.04 + 80 = 81.04 adjusted total points

The COY committee shall use the regular meeting sign in sheets as the sole source of confirming meeting attendance.

Clubs that get at least 80 percent of the points available will get a “Commodore’s Award.”

All submissions for CLUB OF THE YEAR must be received by October 31.

GUIDELINES FOR SUBMISSION

Three ring binder with tabs for each category of criteria.

Coordinator should keep data and documentation current each month.

Binders will be available for each Club to pick up each January at the Annual Installation Meeting.

The binder makes a valuable history for the year.
